The Planned Parenthood Association of Liberia (PPAL) is a voluntary, not for profit and equal opportunity organisation that undertakes advocacy and service delivery in Sexual Reproductive Health and Rights (SRHR) in Liberia. PPAL is a Member Association (MA) of the International Planned Parenthood Federation (IPPF). PPAL is seeking qualified persons for the following positions.

 

  • ADMINISTRATION AND HUMAN RESOURCE ASSOCIATE

 

 

  • Job purpose:

 

The overall purpose of this position is to provide middle level management support to the effective management of PPAL human resources and the Office including provision of support services, smooth and efficient running of Office, day to day human resource operations, oversight on maintenance and ensuring that the physical office environment is enabling and safe for staff and visitors.

 

  • Key Responsibilities:

 

  • Providing support in implementing and maintaining office operations, procedures/ office administrative systems.
  • Supporting the provision of administrative and logistics support services in all areas of operations of PPAL ensuring timeliness, completeness and quality
  • Establishing and maintaining a centralised filing system in electronic and hard copies, retrieval of such files when needed, providing and arranging IT inputs and support as and when needed;
  • Assisting in providing administrative and logistics supports to the planning and conduct of meetings (statutory staff meetings, Board meetings, partners’ meetings, training, conferences, seminars, etc.) including coverage, production and distribution of minutes or reports as appropriate.
  • Serving as the Secretary at general staff meeting including notification of staff, preparation and distribution of the agenda and other documents, venue and ensuring coverage, production and distribution of minutes
  • Monitoring full compliance of staff with applicable standards, regulations, specifications and documented procedures in PPAL and draw attention of Management to any deviation to inform follow up actions
  • Assisting the Manager in charge in planning, organising, coordinating and controlling all activities relating to human resource management;
  • Supporting the process of identifying capacity gaps and participate in all efforts at addressing such gaps including organising and conducting in-house training for staff in relevant areas as identified;
  • Supporting the process of recruitment of new staff
  • Creating and updating electronic data base of personnel including inputting all information relating to training
  • Monitoring the external environment to receive updated information on labour issues emanating from government and bring such to the attention of Management for decision making
  • Under the leadership of the Manager, develop and oversee the implementation of annual capacity building plan for PPAL based on outcome of staff appraisal and feedback from Managers and Supervisors
  • Maintain a safe and secure working environment

 

  • Key skills and competencies

 

    1. Education: Bachelor-level degree or its equivalent in Office Management, Human Resource /Personnel Management, Business Administration, Humanities and Social Science.
    2. Work experience: Four to five years’ work experience in office management especially in an NGO
  1. Computer literacy – Excellent use of computer including word processing, spreadsheets (MS Excel), and Power Point and use of internet for research and educational (training) purposes
  2. Skills – Good oral and written communication skills, Interpersonal skills, people management skills, team playing skills, problem solving and decision making skills and planning and organizing skills
  3. Other requirements – Strong belief and commitment to gender equality, averse to any form of violence especially against women, children and girls, no bias against sexual and reproductive health including family planning, very pro-active, able to operate with minimal supervision and high energy level
