Embassy of Ireland (Irish Aid), Monrovia
Our mission is to promote and protect abroad the values, interests and economic well-being of
Ireland and its people. We do this under the political direction of our Ministers, through our staff at
home and through our Embassy network abroad.
The Mission is now looking to recruit an Administration Officer on an initial one-year contract.
Role and responsibilities:
1. Front of House duties
Initial contact for all external enquiries to the Embassy: welcoming guests, managing
Embassy phone lines and email inboxes
Make decisions about how to progress enquiries appropriately and follow each enquiry to
close out, or to point of handover
2. Consular Services
Act as first point of contact for visa enquiries, review all documents submitted by visa
applicants and maintain an efficient filing system and storage
Track and record progress of visa applications through Embassy system from receipt to
communication of decision
Monitor statistics and trends in provision of consular services and assistance for six-monthly
and annual reporting
3. Embassy Administration
Manage Embassy calendar and appointments system, including vehicle management
Manage Embassy contacts database; undertake records management and filing duties
Track and coordinate office contracts; oversee procurement processes
Provide support to the Embassy’s ICT infrastructure and administration of HR records
Provide support to the Ireland-Africa Fellowships Programme
Assist with the organisation of Embassy events
General administrative tasks and other duties required by line management
4. Finance Administration
Preparation of documentation for Embassy payments, administration of petty cash system
Support to the Finance Officer on the monthly accounts process
Essential requirements candidates must be able to demonstrate
Third level education qualification
Two years of relevant experience with government, NGO or private sector
Excellent English-language written and verbal communication skills. A written test may apply.
IT skills to effectively operate Microsoft Office tools for communications, word processing,
database and calendar management.
Excellent organisational and customer service skills.
Good interpersonal skills, and the ability to work independently and as part of a team.
A legal entitlement to live and work in Liberia prior to hiring.
Desirable requirements
Previous experience of working with an international organisation in an administration role
Remuneration:
$16,284.68 per annum ($1,252.66/month – gross).
