We are looking for an Administrative and HR Manager to perform a variety of personnel-related
and administrative tasks. Serving as Admin and HR Manager, you will develop ads for jobs,
develop HR database, manage employees’ requests as well as oversee the overall administration
of the organization.
Job Summary
Administrative and Human Resource Manager duties and responsibilities include scheduling
meetings and appointments, making office supplies arrangements, managing the administrative
programs and handling general human resource support to the Executive Director and employees.
Previous experience as a HR and Office Administrator would be an advantage. A successful
Admin and HR Manager should also have experience with a variety of office software (email tools,
spreadsheets and databases) and be able to accurately handle administrative duties.
The Admin and HR Manager position requires excellent organizational skills and the ability to
handle sensitive information confidentially. Ultimately, the Admin and HR Manager should be
able to ensure the smooth running of IREDD”s staff administration and all administrative activities
to help improve compliance with the organization procedures and day-to-day operation.
Responsibilities
The primary job responsibilities of the Admin and HR Manager include but not limited to:
Develop creative practices and programs that identify, source, assess and hire the best talent
to meet changing and evolving business needs;
Set and lead towards a vision for exceptional talent practices at all levels of the organization
to meet current and future staffing needs;
Execute the recruitment strategy effectively ensuring the right talent is ready at the right
time and influence the entire recruitment process to provide direction on talent needs;
Understand the programmatic and operational objectives;
Drive employee engagement in working with executive leadership to develop effective
internal communications strategies, processes, tools, and training to promote morale and
productivity;
Maintain employee records (soft and hard copies), update HR databases (e.g. new hires,
separations, vacation and sick leaves), assist in payroll preparation by providing relevant
data, like absences, bonus and leaves
Responsible for procurement activities in accordance with the organization’s procurement
policy.
Responsible for all matters related to the operations and administration of the office.
Ensures registration requirements are kept current at all times and files statutory returns
and renewals.
Manages office lease to make sure it is current and amendments are processed as required;
Oversees administration of human resources, including but not limited to, maintaining
personnel files, assisting with recruitments and orientation procedures, purchasing and
maintaining adequate health and other insurance policies, etc.
Manages information technology contract ensuring infrastructure needs of the office are
met, including properly functioning IT equipment, routine maintenance, security over IT
(anti-virus software and regular backups).
Maintains office files.
Carries out any other tasks as assigned by the Executive Director, Program Directors,
Project Managers and Field Office Finance & Administration.
Schedule meetings and appointments
Organizes the office layout and order stationery and equipment
Maintains the office condition and arrange necessary repairs
Updates and maintain office policies as necessary
Organizes office operations and procedures
Coordinate with IT personnel on all office equipment
Ensure that all items are invoiced and paid on time
Manages contract and price negotiations with office vendors, service providers and office
lease
Manages office G&A budget, ensure accurate and timely reporting
Provide general support to visitors
Manage the onboarding process for new hires
Address employees queries regarding office management issues (e.g. stationery, Hardware
and travel arrangements)
Responsible for facility management, including cleaning, catering and security services
Plan in-house or off-site activities, like parties, celebrations and conferences;
Perform other functions as may be required
Professional Skills Needed
Proven experience as an Office Manager, Front Office Manager or Administrative
Assistant
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Hands on experience with office machines (e.g. fax machines and printers)
Familiarity with email scheduling tools, like Email Scheduler and Boomerang
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
BSc or BBA in business management, public administration as well as additional
qualification as an Administrative assistant or Secretary will be a plus
