JOB TITLE: Administrative Assistant
JOB LOCATION: Monrovia, Liberia
REPORTS TO: Operations Manager
The Global Health Supply Chain Program – Procurement and Supply Management (GHSC-PSM)
project in Liberia is the primary vehicle through which USAID will provide technical assistance
to improve partner countries’ management of the health commodities supply chain and
collaborate with key international stakeholders to support global health initiatives. The
Administrative Assistant is responsible for assisting the Operations Manager and the Finance and
Operations Director with day-to-day of office and project operations administrative tasks.
Responsibilities:
 Receive all incoming calls and visitors.
 Support the Operations Manager and the Finance and Operations Director to oversee
project drivers and fleet of vehicles, to include assisting with driver scheduling based on
technical activities, maintaining fuel and maintenance contracts, collecting and filing
vehicle logs, etc.
 Support the Operations team with procurement, event logistics, and travel preparation as
requested.
 Maintain staff contact lists as needed and support the Operations team with recruitment
and onboarding of staff.
 Ensure that all messages and mail are forwarded as needed.
 Support the Operations team with filing and management of filing systems, both
electronic and hard copy.
 Receive and send all documents via courier services and maintain appropriate document
logs.
 Monitor office supplies and project inventory to that they are well stocked and
functioning.
 Accept and log all deliveries.
 Maintain appearance of the reception and common areas within the office along with the
project’s cleaner.
Qualifications:
 Diploma in a relevant field and minimum 2 years’ experience as an administrative
assistant or receptionist in an office of comparable size, preferably on a USAID-funded
project.
 Excellent communication skills in English, both written and verbal.
 Ability to interact with professionals at all levels and with different cultural backgrounds.
 Highly organized and able to work well under pressure.
