The University of Liberia Medical College, through the USAID/PEER/Program in
Liberia is searching for an experienced, reliable and task-oriented Administrative
Assistant. The Administrative Assistant will work directly with the Executive Assistant
and will be responsible for performing a number of administrative duties. The ideal
candidate is highly self-motivated, professional, and capable of managing their work
load and prioritizing tasks in a fast-paced Institutional environment. This is an excellent
opportunity to join the Nation’s Highest Institution of learning, the University of
Liberia.
Qualifications and Skills
• Advanced Microsoft Office skills, with an ability to become familiar with firmspecific programs and software
• Proficiency in collaboration and delegation of duties
• Strong organizational, project management and problem-solving skills with
impeccable multi-tasking abilities
• Exceptional interpersonal skills
• Friendly and professional manner
• Knowledge of office management systems and procedures
• Working knowledge of office equipment, like printers and fax machines
• Excellent time management skills and the ability to prioritize work.
Education and Experience
• BA in Public Administration or relevant field
• Ability to Lead
• Minimum of 4+ years of experience as an Administrative Assistant.

TERM OF REFERENCE FOR ADMINISTRATIVE ASSISTANT:
1. Performs Secretarial duties including typing correspondence reports,
memoranda from the Executive Assistant for the Medical College;
2. Receives and screens calls and correspondence directed to the Executive
Assistant and reply message;
3. Manage the Deans calendar and arrange tentative schedule;
4. Receives, and distribute incoming mail to the appropriate office of the Medical
College;
5. Help in the supervision of the preparation of Annual reports for the Medical
College;
6. Assist in the handling of Administrative related matters of the Medical College
in consultation with the Executive Assistant ;
7. Reminding the Executive Assistant on administrative matters that have been
investigated or for which special information is require;
8. Develop and maintain an organize filing system;
9. Liaise with executive and senior administrative assistants to handle requests
and queries from senior Administrators;
10.prepare agendas for meetings and prepare schedules;
11.Maintain supplies inventory by checking stock to determine inventory level;
anticipating needed supplies; placing and expediting orders for supplies;
verifying receipt of supplies
