MISSION/CORE PURPOSE
The Corporate Affairs Administrator will provide administrative and secretarial support to the Corporate Affairs Department.
CORE RESPONSIBILITIES
- Manage day-to-day administration of the Department
- Develop and maintain an efficient and comprehensive documentation and filing (electronic and hard) system
- Organize and attend meetings and ensure DCEO and concern parties are well-prepared for meetings
- Liaise with clients, suppliers, staff and other relevant individuals to arrange meetings
- Take dictation, prepare agendas and minutes of meetings
- Manage sensitive matters and information regarding pertinent issues
- Cross-check documents to ensure quality control and compliance to Lonestar Cell MTN policies
- Handle internal and external designated correspondence
- Process all requisitions for the department
- Coordinate DCEO travel and accommodation in conjunction with HR Department
- Tabulate and retrieve DCEO’s official claims
- Make efficient travel arrangements for the division as necessary
- Proactively manage DCEO’s electronic calendar, and seamlessly plan her itinerary, schedule and meetings
- Screen telephone calls, enquiries and requests, relay accurate and timely messages and handle where appropriate
- Meet and greet visitors at all levels of seniority
- Receive incoming correspondence, email, faxes and mail from Post Box for the Corporate Division
- Draft, type and dispatch all correspondences
- Assist DCEO to manage output, workflow and office deadlines
- Read, monitor and respond to emails
- Plan and organize Conference & Telepresence Rooms for meetings and manage events
- Order stationery, office supplies, etc. to ensure the smooth operations
- Provide clerical assistance for other functions within the Division as necessary
- Undertake any other duties as requested by DCEO
QUALIFICATION AND EXPERIENCE
Education
- Bachelor of Arts or Science degree.
Experience
Minimum of 3 years’ experience as a professional secretary, office manager or personal assistant; with experience in supervising others
