Summary of Position:
The Administrative Assistant will be responsible for providing a wide range of administrative and clerical, and logistical tasks to support Senior PREVAIL staff and activities.
Description of Responsibilities:
Provides administrative support to a direct supervisor or the Site Manager as well as multiple Senior Staff members and their immediate steams.
Schedules and maintain a busy calendar, coordinating and arranging all in-country staff travel, as well as arranging and coordinating meetings.
Interact professionally with senior and mid-level management staff, program staff, visitors, providers, participants, guests, vendors, etc.
Assists in time reporting management as well as reporting of the expenses and petty cash expenditures.
Performs administrative and clerical duties, and prepares correspondence as deemed necessary.
Performs regular inventory checks and order supplies as needed.
Exercises sound judgment and discretion when handling sensitive matters, arranges essential incoming items in priority action orders, and manages deadlines on incoming requests to successful completion.
May be requested to assist Finance in withdrawing and disbursing participants’ trackers payment reimbursement funds.
May be requested to assist Finance and work closely with Social Mobilization and Communication (SMC) to develop payment reimbursement forms for Attendees/Participants and the disbursement of payment.
Responsible for preparing petty cash vouchers as requested.
Assists with the disbursement of allowance to Participants in the different studies upon request.
Other duties as assigned.
Skills:
Written and verbal communication skills, vocabulary, and grammar.
Attention to detail is a must.
Ability to establish and maintain office records and files.
Ability to understand and follow complex oral and written instructions.

Time management skills are required to prioritize assignments and deliver projects within required schedules.
Knowledge in financial and human resources management, contract, asset and procurement, information and communication technology, and general administration.
Proficient in Microsoft Office, especially in Word, Excel, and PowerPoint.
Qualifications
Education: Associate or Bachelor’s Degree in Business Administration or social sciences or equivalent in the related field.
