Location: Monrovia, Liberia, with frequent travel to project implementation areas in Bong County and Montserrado County
Reports To: Project Coordinator – Community Health Systems & MNCH Continuity Project

ABOUT RESTORE HOPE LIBERIA

ABOUT THE PROJECT
Restore Hope Liberia is implementing the FHI 360 EpiC Maternal, Newborn and Child Health (MNCH) Continuity of Care Project as a Civil Society Organization (CSO) subawardee under the USAID/PEPFAR-supported EpiC platform.
The project seeks to strengthen continuity of care across the maternal, newborn and child health continuum through improved pregnancy identification, referral completion, antenatal care continuity, facility delivery support, postpartum follow-up, newborn follow-up, PMTCT/EID continuity, immunization follow-up, maternal wellbeing support, and strengthened community-facility linkages.
POSITION SUMMARY
The Documentation, Reporting & Knowledge Management Officer will lead project documentation, evidence generation, knowledge management, activity reporting, success story development, and records management.
The position will ensure that all project activities are appropriately documented, verified, archived, and translated into high-quality reports, learning products, and donor-compliant evidence packages.
The officer will serve as the project’s focal point for documentation quality and will support development of implementation narratives that demonstrate project achievements, lessons learned, and organizational impact.

KEY RESPONSIBILITIES
- Documentation and Evidence Management
- Develop and maintain project documentation systems.
• Establish and manage project evidence repositories.
• Ensure proper filing and archiving of project records.
• Organize and maintain digital and hard-copy documentation systems.
• Verify completeness of supporting documentation for project activities.
- Reporting
- Draft activity reports, meeting reports, field visit reports, and implementation summaries.
• Support preparation of milestone reports and donor deliverables.
• Review reports submitted by field teams for completeness and quality.
• Ensure timely compilation and submission of documentation packages.
- Knowledge Management and Learning
- Develop and maintain project knowledge management systems.
• Document lessons learned, best practices, and implementation experiences.
• Support development of case studies and learning products.
• Facilitate collection and organization of project learning materials.
- Success Stories and Communications Support
- Develop human-interest stories and project success stories.
• Conduct interviews with beneficiaries and stakeholders.
• Support collection of quotes, testimonies, and field narratives.
• Draft content highlighting project achievements and impact.
- Photography and Visual Documentation
- Coordinate collection of photographs and visual evidence.
• Ensure photo documentation complies with organizational and donor requirements.
• Maintain organized photo libraries and metadata records.
• Support visual documentation of meetings, trainings, community dialogues, and field activities.
- Support to Monitoring and Evaluation
- Collaborate closely with the MEL-AM & Data Manager.
• Support verification of implementation evidence.
• Assist with data quality reviews and documentation verification.
• Ensure consistency between reported activities and supporting evidence.
- Volunteer and Documentation Team Support
- Supervise and mentor Documentation and Reporting Volunteers.
• Assign documentation responsibilities during activities and field visits.
• Build volunteer capacity in documentation and reporting standards.
• Ensure documentation volunteers contribute effectively to project objectives.
QUALIFICATIONS AND EXPERIENCE
Required Qualifications
- Bachelor’s degree in Communications, Journalism, Public Health, Development Studies, Social Sciences, Information Management, or a related field.
• Minimum three (3) years of relevant experience in documentation, reporting, communications, knowledge management, or project support.
• Strong report-writing and editing skills.
• Experience organizing and managing large volumes of documentation.
• Excellent written and verbal communication skills.
• Strong proficiency in Microsoft Office and Google Workspace applications.
• Ability to travel to project sites as required.
Preferred Qualifications
- Experience supporting donor-funded projects.
• Experience in public health, community health, or development programs.
• Experience writing success stories, case studies, and learning products.
• Photography, communications, or digital content management experience.
• Experience supporting monitoring, evaluation, accountability, and learning (MEAL) activities.
