Safeguarding Job Responsibilities

  1. Ensure the safety of team members from any harm, abuse, neglect, harassment, and exploitation to achieve BRAC’s goals of safeguarding.
  2. Act as a resource of support and expertise on safeguarding for establishing a safe working environment.
  3. Practice, promote, and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  4. Follow the safeguarding reporting procedure in case any reportable incident takes place, and encourage others to do so

 

Job Summary:

Executive Assistant to the Country Director is a critical leadership support role, responsible for enhancing the effectiveness and efficiency of the Country Director’s office. This position acts as a strategic partner, providing high-level administrative, operational, and project management support, while also facilitating internal and external communication. The role requires a highly organized, proactive, and discreet individual with exceptional communication and problem-solving skills, capable of navigating complex organizational dynamics.

Key Responsibilities:

  1. Strategic Support and Project Management:
  • Act as a strategic advisor to the Country Director, providing insights and recommendations on key initiatives and operational matters.
  • Manage and prioritize the Country Director’s strategic activities, ensuring timely execution and alignment with organizational goals.
  • Conduct research, analysis, and prepare briefing materials, reports, and presentations for the Country Director.
  • Monitor and track the progress of key initiatives, identifying potential challenges and recommending solutions.
  • Facilitate cross-functional collaboration to ensure seamless execution of projects and initiatives.
  • Represent the Country Director in meetings and discussions, as required.
  1. Executive Administrative Support:
  • Manage the Country Director’s complex calendar, scheduling appointments, meetings, and travel arrangements with meticulous attention to detail.
  • Screen and prioritize incoming communications, including emails, phone calls, and correspondence, ensuring timely and appropriate responses.
  • Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
  • Organize and manage confidential information and documents with utmost discretion.
  • Coordinate logistics for meetings, workshops, and events, including venue selection, catering, and participant management.
  • Process and manage expense reports, travel reimbursements, and other administrative tasks.
  1. Internal and External Communication:
  • Serve as a primary point of contact for internal and external stakeholders, fostering positive relationships and ensuring effective communication.
  • Prepare and disseminate internal communications, including memos, announcements, and updates.
  • Coordinate and manage external communications, including correspondence with government officials, donors, and partners.
  • Prepare and manage communications for the Country Director.
  • Ensure clear and consistent messaging across all communication channels.
  • Manage the information flow to the Country Director, ensuring the Country Director is well informed.
  1. Operational Efficiency and Improvement:
  • Identify and recommend opportunities to improve operational efficiency and streamline processes within the Country Director’s office.
  • Develop and implement systems and procedures to enhance workflow and information management.
  • Ensure that the Country Director’s office operates effectively and efficiently.
  • Manage the budget for the Country Director’s office.
  • Assist in the preparation of reports for the Country Director.

Qualifications and Experience:

  • Bachelor’s degree in Business Administration, International Development, or a related field; Master’s degree preferred.
  • Minimum of 3-5 years of experience in a senior administrative or executive support role, preferably within an international NGO or similar organization.
  • Proven experience in project management, strategic planning, and operational support.
  • Exceptional organizational, time management, and prioritization skills.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders.
  • Strong analytical and problem-solving skills, with the ability to think strategically and creatively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team, with a high degree of initiative and flexibility.
  • Strong understanding of international development principles and practices.
  • Knowledge of the operating context of Liberia is a plus.
  • High level of discretion and confidentiality.
  • Strong interpersonal skills and cultural sensitivity.
