Position/Title: Finance and Administrative Assistant
Location: Kaizen Company – Learning Links, Gbarnga City, Bong County
Program Overview:
Launched in May 2017, Learning Links is an innovative education program targeting adolescent
girls who had to leave school due to pregnancy. Learning Links is implemented by The Kaizen
Company.
Position Summary:
The Kaizen Company’s Learning Links Project is seeking an experienced Finance Assistant. The
position holder will be responsible for supporting the Finance Manager and Director of
Operations and Administration in implementing the overall accounting and financial control,
administrative and procurement systems for the smooth and effective functioning of the
Learning Links office. The Finance Assistant will also be responsible for the coordination of all
travel and logistics, office events, and meeting management, including note taking and
participant sign-in sheets.
The position is based in Gbarnga, Bong County.
Responsibilities:
Finance
 Request funds for the implementation of the Project in coordination with the Program
Director, Finance Manager, and other Learning Links staff.
 Prepare vouchers and checks for payment.
 Process all payments (petty cash, cash and bank) ensuring that proper support document is
included, and it is properly approved internally before payment.
 Ensure transactions and other financial data are properly recorded and entered into the
accounting system.
 Ensure that all expense transactions are reasonable, valid, adequately supported by receipts
and within the Learning Links budget.
 Assist with the maintenance of the filing system of all financial reports, fund requests and
other finance documentation.
 Maintain petty cash and cash records and logs and ensure sufficient quantities of funds for
planned Project activities.
 Maintain and regularly update and review timekeeping and leave records.
 Assist in monthly closing of accounting books and expense reporting.
 Grant advances to staff and ensure that reimbursement and trip reports received from staff
are accurate and supported before clearing them.
 Travel regularly to Learning Links activity sites in the field to make payments to vendors and
beneficiaries.
General Administrative Support
 Coordinate logistics and organization for meetings, conferences, workshops, hotel, airport
transfers and other local travel arrangements, and itineraries as required with local staff
and Kaizen Company HO staff and consultants.
 Coordinate weekly All Staff meetings, including preparation of meeting room, participant
sign-in sheets, taking of meeting notes, and sharing of meeting notes in a timely manner.
 Perform scanning, photocopying, and printing of documents and other administrative tasks.
 Verify staff daily attendance and arrival times by reviewing sign-in/sign-out logs.
 Any other tasks and duties as required.
Required Education, Knowledge & Professional Experience:
 Diploma in a relevant field, such as Business Administration.
 At least two years of experience in accounting and finance for USAID funded projects.
 Ability to efficiently handle a range of tasks concurrently to meet different needs
 Ability to work with minimum supervision.
 Good team work and interpersonal skills.
 Keen analytical skills and ability to take the initiative.
 Excellent organizational skills and ability to deal with stress or pressure.
 A high degree of accountability and integrity
 Well spoken, with ability to communicate clearly and concisely.
