Objective of the Position:The aims of the position are to assist in providing administrative support to Project/Programme and in Managing the Project’s /Programme’s Finances. |

• Assist in the Coordination of the Project/Programme Office’s operations • Prepare and organize internal team meetings as directed • Update the project/Programme organizational chart on a regular basis • Make administrative and logistics arrangements of project activities • Ensure the functioning of computer software and hardware • Monitor availability of supplies (Spare parts, Stationary etc) and arrange replenishment • Regularly update the project/Programme inventory list • Provide necessary data to monitor the cash-flow situation and plan the project’s/programme inventory list Duties Responsibilities: • Provide necessary data to monitor the cash-flow situation and plan the projects/progrmme annual/monthly finance • Assist in Monitoring expenditures about the budget • Prepare the necessary documentation for banking transactions (Deposit cash or cheque, cash cheques, collect monthly bank statements) • Follow up and arrange for a/c receivable and payables settlement ( e.g. Payment of Utilities) • Bill Private telephone, Vehicle use • Provide necessary documents and reports for internal controlling • Organize payments for the project. |
• Ensure invoices and supporting documents are as per WHH internal standards. • Record all transactions in the electronic Fundspro Cashbooks on a daily basis. • Correct filing of vouchers and checklists. • Monthly closure of cash books. • Follow up on advances and their settlement. • Assist in scanning of vouchers. • Monthly fuel reconciliation of fuel advances. • Assist in reconciliation of office running cost sharing among projects. • Ensure that the office has adequate stationery. • Provide support to the Logistics & Procurement Department as assigned. • Check filing of logbooks of vehicles and motorbikes in Grand Kru & Sinoe. • Any other task assigned from time to time |
Bachelor’s degree in business administration major in accounting. Good knowledge of computer (MS office,) is must or similar discipline. Education |
Minimum of 2 years’ experience in a similar position with a reputable INGO, UN agency or the private sector. Professional Experience Proven experience in financial management. |
Language Skills Excellent spoken and written English. |
Excellent understanding of accounting. Proven ability to use MS Office, Excel, Outlook, PowerPoint and Teams. Personal Skills Proven ability to train others and maintain standards. |
