JOB OPPORTUNITY

In 2022, the Mastercard Foundation in partnership with BRAC International (BI) will be announcing an initiative that will create a positive and measurable impact for 1.2 million adolescent girls and young women and 9.5 million people across seven countries in East and West Africa, including Ghana, Kenya, Liberia, Rwanda, Sierra Leone, Tanzania, and Uganda.

There is mounting urgency to support adolescent girls and young women (AGYW) living in poverty, which has been further amplified by the global pandemic. Through this partnership, scalable economic development approaches will be delivered in communities to foster the agency and voice of AGYW. They will have the opportunity to fulfill their aspirations, achieve sustainable livelihoods, and engage in advocacy issues.

BRAC International will implement an integrated and holistic model to address the various life cycles of a young woman living in poverty, ensuring she is able to transition safely from adolescence to adulthood. She will be equipped with the appropriate skills, tools, and access to finance to effectively exercise her agency and build a fulfilling and productive livelihood. In preparation for the launch of the programme, BRAC International is seeking applications from competent, dynamic, and self-motivated individuals to fill the following position.

Safeguarding Job Responsibilities

  1. Ensure the safety of team members from any harm, abuse, neglect, harassment, and exploitation to achieve BRAC’s goals on safeguarding.
  2. Act as a resource of support and expertise on safeguarding for establishing a safe working environment.
  3. Practice, promote, and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  4. Follow the safeguarding reporting procedure if any reportable incident occurs, and encourage others to do so.

MAJOR RESPONSIBILITIES

Assisting the Finance Manager with monitoring and reviewing activity budgets and financial project reports to ensure financial stability, ongoing project viability, and compliance with donor requirements;

  1. Supervise three 3 Area Accountants supporting each in:
  2. Recording transactions in cashbook (Withdrawal, transfer, deposits)
  3. Preparing debit & credit vouchers for expenses and incomes
  4. Identifying lines in the budget relating to a specific expenditure
  5. Provide support in recording transactions in software ( SBI Cloud)
  6. Reviewing payments before disbursement
  7. Ensuring supporting documents are accurate before payments
  8. Ensure that field staff follow Standard financial procedures
  9. Ensure payments to the party are done in line with donor compliance Prepare and submit regular financial reports as required by management and donors;
  10. Bill payment and voucher preparation and recording, Cash and bank management, and fixed asset management

Reviewing Vouchers ensuring all supporting documents are accurate and attached for payment

Ensure the right budget line is placed on each voucher before payment Ensure vouchers are approved through the approval process before payments are made

Prepare Checks for vendors’ payments

Ensure vendors present valid ID cards for payment

Photocopy the Vendor’s ID cards and the check and attach a copy to the payment voucher.

Ensure vendor(s) signed payment voucher upon receiving their check for payment to prove receipt of the check.

Review budget ensuring funds allocated are available before payments are made STAMP all bills paid with the paid stamp and filed

Payroll Preparation, Bank Reconciliation, Withholding tax and national Social Security Tax

Preparation;

Prepare Payroll staff taking into consideration the monthly rate from LRA Ensure Payroll is reviewed by the Finance Manager and Country Head of Finance and Accounts

Have Payroll approve and sign for salary payments through staff salary accounts. Prepare Monthly Bank reconciliation for project accounts

Prepare Withholding and make direct payments through the banks to LRA Prepare and submit national social security payments.

Cash and Bank transaction monitoring. Ensuring donor compliance are followed;

Maintain an up-to-date cash and Bank book daily

Issue staff Open advances

Keep track of all open advance(s) transactions

Remind and ensure staff reconcile their open advances for each month Maintain an accurate and up-to-date Cash Book by recording all Cash and Bank transactions in the cash book daily

Reconcile all cash and bank transactions in the cashbook daily ensuring they match with what is in the system (SBI clouds)

Enter all payments both cash and Bank transactions in financial software (SBI clouds) daily

Transfer funds in SBI clouds from the Cost center to the cost source (Project) for bill payment

Maintain hard copies of vouchers after payments are made

Printing out Vouchers for each transaction from SDI Clouds and attached to Payment vouchers

Scan and file all soft copies for the quarterly reporting period

File hard copies in box folders labeled with each project

Prepare the BVA report

Following and enforcing BRAC’s procurement policies and procedures. Ensure that appropriate procurement standards and documentation are followed in the selection of contractors, vendors, suppliers, and grantees in line with the approved procurement Policy of BRAC;

  • Reviewing comparing analyzing and approving products and services to be purchased;

EXPERIENCE

2-3 years of experience in Finance/ relevant work.

KNOWLEDGE, SKILLS & COMPETENCIES:

  • Very good knowledge of finance
  • Proven experience with end-to-end
  • Knowledge of financial management and reporting
  • Having the highest levels of integrity and trustworthiness
  • Excellent communication skills both oral and written
  • Strong interpersonal skills, attention to detail, and a thorough understanding of financial principles and practices.
  • Ability to effectively read and interpret information, present numerical data in a resourceful manner and skilfully gather and analyze information
  • Demonstrated intermediate computer skills in Microsoft Office suite applications including Word, Excel, PowerPoint, and Outlook
  • Dependable, able to follow instructions, respond to management directions, and able to improve performance through management feedback
