Job Title: HR Support Officer – (1X)

Location: Monrovia, Montserrado County

Reporting To: Senior HR Officer

Responsible For: N/A

Contract duration: Fixed Term

Job Purpose: The HR Support Officer will be responsible for managing the mini storage, receiving, recording and dispatching of correspondences and

maintaining the archive.

Main Responsibilities:

Main Duties and responsibilities

  • Maintain and manage the mini stationary store
  • Receiving and following up with staff to submit their timesheet and updating the tracker accordingly
  • Assist in ensuring that the staff bulletin board has up to date information and kept cleaned always.
  • Support the Senior HR Officer in compiling monthly admin reports
  • Ensure all necessary paperwork and records are kept accurate and up to date at all times, including the set up and maintenance of effective filling systems
  • Ensure items are stored correctly, that they are accessible and that available storage space is being managed well.
  • Liaise with the Senior HR Officer regarding stock replenishment
  • Bring any maintenance problems, including misplaced or broken items, to the attention of the Senior HR Officer

Administration

  • Receive and record correspondences from other locations and external sources and dispatch accordingly
  • Manage the office supplies required from the store and record movement of these items.
  • Liaise with Senior HR Officer regarding international staff work permits and resident and re-entry permits
  • Liaise the Senior HR Officer to follow up on the renewal process of Business Registration, Semi Annual Report, tax clearances.• Filing, and photocopying documents as requested
  • Assist in moving files to the container/archiving
  • Maintenance of files in the container; sort in date order
  • Do stock analysis for consumable items in the kitchen and raise PR replenishment
  • In addition to the above you may also be asked to carry out other duties by your manager
  • Responsible for upholding and promoting Concern’s values, including our workplace equality, diversity and inclusion, and safeguarding values.
  • All staff are required to participate and contribute as necessary towards Concern’s emergency response as and when required.
  • Responsible for upholding and promoting Concern Liberia ’s environmental policies and strategies

Experience & Qualification:

  • At least Associate degree in Administration, Management, HR Management, BSc is an added advantage
  • Proven experience in an assistant or in another relevant administrative role;
  • Computer literate and able to work in a fast-paced environment; Working knowledge of office equipment.
  • Be willing to work during extra hours; attention to details
  • Previous experience with an INGO
  • Good organizational skills
  • Strong communication skills – both verbal and written
  • Strong interest in working in rural areas and sensitivity to the needs of the extreme poor
  • Dedicated to gender equality
  • Willingness to learn and a respectful attitude
  • Commitment to Concern’s work
