Location: Bomi with travel to other MML Field locations

Contract length: Indefinite

Job purpose

The Human Resource and Administrative Officer will provide support during staff recruitment, selection and exit processes, oversee induction of new staff, monitor staff performance management, professional development, Employee relations and manage staff information and reporting.

Key activities

  1. Support staff recruitment, selection and exit processes:
  • Collaborate with line managers to ensure job descriptions are complete and accurate.
  • Prepare notices and advertisements for vacant positions.
  • Support in the review and short listing of applications.
  • Oversee scheduling of interviews with applicants and appropriate staff.
  • Collate information for interview reports and grids for line managers and HR Manager.
  • Conduct reference checks on candidates.
  • Ensure that staff exit procedures are in compliance with Mary’s Meals Liberia HR policy and country labour law.

 

  1. Oversee induction of new staff:
  • Prepare and finalise new staff contracts with coordination from HR Adviser (Operations)
  • Plan inductions and new staff training with support from the HR Advisor (Learning & Development)
  • Ensure the new staff information is recorded and filed properly.

 

  1. Monitor staff performance management and professional development:
  • Collaborate with line managers and HR Learning & Development (Advisor) for setting and monitoring performance objectives for all staff.
  • Liaise with line manager in the preparation of new staff objective setting.

 

  1. Manage staff information and reporting:
  • Organise and maintain staff files so they are accessible.
  • Support in the management of the HR Information System with the HRIS Officer
  • Support in preparing internal HR report including start/end dates, leavers, joiners, leave status and recruitment timelines.
  • Prepare manage and submit the monthly National Social Security payroll monthly report
  • Prepare, manage and submit Employees Quarterly statistical Report to Ministry of Labour
  • Prepare a data base and ensure that all employees have a registered LRA TIN number
  1. Manage employee payment and benefits:
  • Maintain accurate records of employment benefits.
  • Ensure that all employees are covered under the appropriate benefits policy.
  • Collaborate with the Finance department for the preparation of monthly payroll.
  1. EmployeeRelations
  • Provide support in the administration of the disciplinary process
  • Enrol all employees on the National Social Security Welfare scheme
  • Process all NASSCORP claims for employees and ensure timely settlement.
  • Ensure employees medical scheme is properly supervise with Medical service provider
  1. Projects
  • Support the HR team on HR projects

    Qualifications, skills and experienceEssential Desirable
    Bachelor’s degree in human resource management or a related disciplineü
    CIPD Level 3 Foundation Award in HR Essentials or demonstrable relevant experienceü
    Ability to work under pressure and prioritise own workload to be able to deliver on timeü
    Demonstrates attention to detail and accuracyü
    Demonstrates an up-to-date knowledge of HR best practiceü
    Ability to establish good working relationships and strong communication skillsü
    Ability to work effectively to achieve individual and team goalsü
    Experience with Microsoft Word, Excel, Outlook and PowerPointü
    Experience of working in a not for profit organisationü
    Experience of data entry and basic reporting from HR information systemsü
    Good presentation and facilitation skills for the dissemination of informationü
