Program / Department Summary

The Human Resources department is responsible for providing effective and efficient services to all BRAC Liberia staff. The HR department is responsible for ensuring that all the processes performed are in line with the BRAC requirements, local policies, and donor rules and regulations. The HR department is responsible for ensuring staff well-being and fair treatment of all existing and newly hired staff.

General Position Summary

The Human resources Internship position is mainly responsible for the day-to-day administrative functions within the department. This individual works with the HR team to ensure the unit complies with all labor regulations as well as the established best practice organization policies.

Safeguarding Job Responsibilities

  1. Ensure the safety of team members from any harm, abuse, neglect, harassment, and exploitation to achieve BRAC’s goals of safeguarding.
  2. Act as a resource of support and expertise on safeguarding for establishing a safe working environment.
  3. Practice, promote, and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  4. Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.

Essential Job Responsibilities

The specific duties and responsibilities of the HR Assistant Internship position include, but are not limited to, the following:

  • Perform general HR clerical activities including but not limited to, photocopying, filing, and scanning.
  • Ensuring that all new hires’ files are complete with their probationary evaluation forms.
  • Coordinate all annual sick leave trackers for the Buchanan/Gbarnga-Ganta staff and ensure accuracy.
  • Do follow up with supervisors to ensure that annual evaluation forms are completed promptly.
  • Collect all monthly timesheets for the HR Manager for review and filing. Make phone call invitations for candidates shortlisted for interview.
  • Maintain Human Resource files and records to ensure consistent data accuracy. Keep up to date with the latest HR personal files.
  • Perform administrative duties, such as maintaining employee databases and sorting emails for the HR department.

HR MANAGEMENT

  • Support the HR department at the field level with all HR-related issues or concerns. Follow up on new staff NASSCOP and ACTIVA ID cards promptly.
  • Support the HR team in submitting HR documents (i.e. timesheets, leave forms, contracts) Security
  • Ensure compliance with security procedures and policies as determined by country leadership.

Proactively ensure that team members operate in a secure environment and are aware of policies.

Accountability to Beneficiaries

  • BRAC team members are expected to support all efforts toward accountability, specifically

to our beneficiaries and to international standards guiding international relief and development work, while actively engaging beneficiary communities as equal partners in the design, monitoring, and evaluation of our field projects.

  • Team members are expected to conduct themselves professionally and respect local laws, customs, and BRAC’s policies, procedures, and values always and in all in-country venues.

Reports Directly To: HR Manager

Works Directly with All BRAC Liberia Team (Monrovia)

. Knowledge and Experience

  • Certificate in Human Resources Management (HRM),
  • A BSc degree in, Management, administration, or secretarial science is an added advantage.
  • Hands-on experience with HR software.
  • High-level experience with MS Office applications
  • Knowledge of labor legislation
  • Excellent organizational and time-management skills

Success Factors

The ideal human resources Assistant should have a good knowledge of administrative, and human resources systems, and strong communication skills. He/she should be creative and have a fun approach to teaching and learning. He/she should be able to work effectively on

capacity-building, mentoring, and team-building techniques. He/she should be sensitive to and understand local context as well as familiarity with field staff structures. Demonstrated attention to detail and ability to follow procedures, meet deadlines, and work independently and cooperatively with team members. Experience taking the lead on unfamiliar tasks within diverse cultural contexts.
