Job Title: Human Resources & Administration Assistant – (1X)

Location: Monrovia, Montserrado County

Reporting To: Human Resources & Administrative Officer

Responsible For: N/A

Contract duration: Fixed Term

Job Purpose: To Assist the Human Resources & Administrative Officer in carrying out Administrative and Human Resource tasks for Monrovia Operations with details of tasks listed below

Main Responsibilities

Support filing and archiving of all HR and Admin documents and management and updating of databases (leave tracker, lease agreements, etc); Support the HR/Admin Officer in compiling monthly HR/Admin reports; Manage the official Notice Boards and display official communications and promotional information in an attractive manner; Ensure the office is adequately stocked with appropriate stationery and other supplies. Ensuring that other Administrative Services are provided in a timely and reliable fashion. This includes conference room arrangements, Accommodation; for staff and other official visitors; Receive and record correspondences from other locations and external sources and dispatch accordingly; Assist in photocopying and printing of documents as requested; Share, collect and track staff timesheets; Provide support as required to the HR team in the recruitment and selection of staff; Support national staff recruitment process and maintain the recruitment file; To be part of the interpretation of Human Resource policies and practices and assist in any necessary review; Support internal information sharing in the organization; Ensure the implementation and maintenance of the filing system for staff by ensuring that staff files are up to date, that proper documentation procedures were followed and to ensure HR team conducts regular audit of the same; Liaise with HR/Admin Officer to promote staff wellbeing; Any other relevant tasks as requested by the HR & Admin Officer, the Systems Director or the Country Director

Experience & Qualification:

A Diploma or undergraduate degree in relevant field

Previous experience with an INGO

Good organizational skills

Strong communication skills – both verbal and written

Strong interest in working in rural areas and sensitivity to the needs of the extreme poor

Dedicated to gender equality

Willingness to learn and a respectful attitude
