Position Summary

  • The Human Resources Assitant shall undertake a variety of HROD and administrative duties.
  • She/he shall facilitate daily HROD functions like keeping track of employee records and supporting theinterview process. The Human Resources and Organizational Development (HROD) Assistant shall undertake a variety of HROD coordination and administrative duties.
  • She/he shall facilitate daily HROD functions like keeping track of employee records
  • The role would also, involve performing tasks with a focus to grow SOS Liberia’stalent pipelineand improve oursourcing tactics.
  • The HROD Assistant will have a broad knowledge of Human Resources and Organizational Development as well as general administrative responsibilities.
  • He/She will be able to work efficiently to ensure the end-to-end running of HROD projects and operations.
  • He/She should be familiar with using HROD software and tools. Ultimately, the HROD Assistant should be able to contribute to the attainment of specific goals and results of the HROD department and the organization.

Responsibilities

  • Respond to internal and external HROD-related inquiries or requests and provide assistance
  • Redirect HROD-related calls or distribute correspondence to the appropriate person of the team
  • in both paper and the database and ensure all employment information requirements are met
  • Liaise with other departments or functions (payroll, benefits etc.)
  • Support the recruitment/hiring process bysourcing candidates, performingbackground checks, assisting in shortlisting, issuing employment contracts, ID cards, etc.
  • Assist supervisors in performance management procedures
  • Schedule meetings, interviews, HR events, etc. and maintain the HROD team’s agenda

 

  • Coordinate training sessions and seminars
  • Perform orientations, onboarding and update records with new hires
  • Produce and submit reports on general HROD activity
  • Assist in ad-hoc HROD projects, like collection of employee feedback
  • Support other functions as assigned
  • Perform other duties/tasks as required by the supervisor and National Director
  • Assist with day to day operations of the HROD functions and duties
  • Provide clerical and administrative support to HROD Manager
  • Compile and update employee records (hard and soft copies)
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.).
  • Coordinate HR projects (meetings, training, surveys etc.) and take minutes
  • Deal with employee requests regarding human resources issues, rules, and regulations
  • Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc.)
  • Properly handle complaints and grievance procedures
  • Coordinate communication with candidates and schedule interviews
  • Conduct initial orientation to newly hired employees

Requirements

  • Proven experience as an HROD Assistant or relevant human resources/administrative position
  • Knowledge of HROD processes andbest practices
  • Strong ability in using MS Office (MS Excel and MS PowerPoint, in particular)
  • Experience with HROD databases and HRIS systems
  • In-depth understanding ofsourcing tools, like resume databases and online communities
  • Familiarity withsocial media recruiting
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • Familiarity with ATS software and resume database
  • Basic knowledge of labor laws
  • Excellent organizational skills
  • Strong communications skills
  • BSc/BA in Human Resources or Business Administration or relevant field; additional education in Human Resource Management will be a plus.

Accountability & Working Relationship

  • The HROD Assistant supports the HROD Manager in the day-to-day HR functions
  • S/he reports directly to the HROD Manager and deputizes the HROD Manager as need be.
  • Other functions of the HROD Coordinator include the follow:
  • The Performance of the principal will be assessed at least twice per year by the HROD Manager, the factors that will be taken into account are:
  • Overall performance of duties of HROD Coordinator
  • Personal Behavior and attitude to work and co-workers
  • Efficiency and Quality of staff’s and students performance levels
  • Interpersonal relations and management of staff performance and adherence to SOS Code of Conduct/Child Safeguarding/Child Protection Measures
  • Improved Quality Standards of the school

Upgradability/Evaluation

  • The working conditions of the Principal may be upgraded according to:
  • Years of service and proven commitment.
  • Gaining further qualification in areas such as ICT which will significantly improve his / her performance as per the tasks set out in this job description
  • Additional qualifications / experience gained after attending further education, which results in a significant improvement in work performance.

Child Protection & Child Safeguarding

  • Protect children from all forms of abuse, abandonment, exploitation, violence and discrimination.
  • Report any CS suspicion, concern, allegation or incident immediately: IF IN DOUBT, SPEAK OUT!
  • Act without delay: Failure to act may place the child in further danger.
  • Involve the right people at the right time: CS reports should be made to the CS team at programme level and/or to the respective line manager.
