POSITION : Indirect Distribution Administration Agent
REPORTING TO : Indirect Distribution Administration Sr. Supervisor
DEPARTMENT: Indirect Distribution

PURPOSE OF THE JOB
The primary responsibility of the Indirect Distribution Administration Agent is to Pilot and coordinate the activities of the Indirect Distribution Administration, Follow up and monitor partners’ orders, invoices, payment, and products delivery and report anomalies, Participate in the optimization and/or drafting of Indirect Distribution Administration’s Procedures.
KEY ACCOUNTABILITIES
•Coordinate in collaboration with the Sales Team, Distributor’s purchase order plan
•Manage dealers’ complaints (order invoices not available, problems with ordering and delivery of products, order errors, etc.)
•Ensure and verify Distributors’ commission payment at defined periods of time
•Notify Distributors and Indirect Distribution Actors, of the commissions paid by Orange Money and Orange Liberia
•Ensures that Distributors submit invoices on time
•Ensures daily management of product delivery and on times
•Performs regular checkup and stock inventories statement with the Finance or Warehouse Team and send alarms against potential shortages
•Produces and follow up commissions Dashboard
•Analyze and verify commissions Data received from MIS and Finance for approval
•Works cross-functionally with other teams (Sales, Finance, Back Office, Orange Money)
•Complaints handling
•Ensure compliance with work procedures and alert for updating procedures
•Provides regular, reliable, and synthetic consolidated reporting in order to measure the coherencies (Quantity and Quality sold vs. invoiced)
•Ensures its stamp on all order forms and Distributors’ deliveries
•Keeps activities, documents, and archives up to date for controls and audits
•Shares and monitoring Sales KPI’S to improve Indirect Distribution performances
•Distributor Purchase Order Plan collection and follow up for Sales Target achievement

MINIMUM REQUIREMENTS
Education:
oBachelor’s degree in Business or a related field

Experience:
oTwo to five years experience in sales and distribution administration, with project mentions as key team player.
oWorked in a controlled process in Indirect Distribution
oExperience in customer relationship management.
