Vacancy announcement for Procurement Assistant

Summary of position responsibilities/expectations: The Procurement Assistant will
report directly to the Office Manager and will provide general support to the various
objectives leads and other project personnel.
Tasks and responsibilities:
• Assist with all procurement work related to project implementation.
• Draft RFQs or RFPs for goods and services consistent with NAI office procurement
policy.
• Distribute RFQs/RFPs via email or public announcement and ensure vendors are
given equal opportunity during bidding.
• Assist in preparation of Purchase Order, Purchase Requisition, Bid Analysis,
Goods Received Note and Payment Request.
• Track progress of purchase orders, channel due payments and keep an updated
record of purchase order expiration.
• Maintain adequate file management system and ensure all procurement
paperwork conform to Nathan Associates procurement policy.
• Provide support for event planning including but not limited to identifying
training venue, catering, lodging and transportation for participants.
• Assist Office Manager in keeping track of project assets and as required conduct
periodic assets verification for both office equipment and assets that are on loan.
• Perform any other tasks assigned by the Office Manager, Deputy Chief of Party,
and/or Objectives Leads that are consistent with this Scope of Work and the
general requirements of the project.
Minimum Qualifications
Liberia Economic Policy Dialogue Activity (LEPDA)
Funded by the United States Agency for International Development (USAID) and
implemented by Nathan Associates Inc.
• Formal education in procurement, contracts, inventory control or general supply
chain a strong plus (e.g. a Degree, Associate degree or Advanced Diploma).
• Fluency in English; excellence in English writing and composition is required.
• At least three (3) years of proven procurement and contracts experience on donorfunded projects.
• Knowledge of the regulations governing USAID contracts would be an added
advantage.
• Demonstrated knowledge and skills with RFQ, RFP, RFEOI, Bid Analysis and
Neg. Memo.
• Strong computer skills and ability to effectively work with excel.
• Strong organizational skills and ability to work independently, assess
priorities/manage multiple tasks, and detail oriented.
• Good interpersonal skills, team work, and results-oriented approach.
