Function : Logistics Assistant

Reports to : Finance and Operations Coordinator

Duty station : Monrovia, with regular travel in Liberia

Duration : Until the end of December 2022.

Job Description:

Procurement:

• To ensure that full and comprehensive range of procurement paperwork is used and filed as per ZOA policies and procedures.
• To ensure that ZOA secures value for money and provide adequate specifications of items procured.
• To implement and adhere to (procurement) policies such as code of conduct, ethics, fraud prevention and government procurement compliance.

Fleet and Transportation

• Ensure that all ZOA’s vehicles and motorbikes are maintained in good condition, serviced regularly and stored when not in use.
• Manage and report on ZOA’s vehicle tracking systems.
• Maximize fleet efficiency and effectiveness through planned resource allocation in accordance with ZOA guidelines.
• Ensure all fleet data management is executed in a professional manner and in accordance with ZOA guidelines.
• Oversee and supervise the planning of maintenance and repairs of all fleet units including generators.
• Mentor and supervise drivers on equipment attributed to vehicles, plus ensure proper fueling and cleaning.
• Execute safety checks and maintain vehicles in safe and clean operating condition.
• Directly undertake vehicle maintenance duties when needed.
• Actively coordinate with out-sourced workshops regarding maintenance and repairs.
• Plan and communicate the movements of ZOA vehicles and allocation of vehicles and drivers on a daily basis.
• Ensure that all ZOA’ drivers and vehicles have the correct and updated documents as per Liberia Ministry of transport laws, before movements.
• Compile vehicles and motorbikes movement log books information, proving an analysis of fuel consumption per vehicle and motorbikes monthly.

Safely and Security

• Directly manage ZOA’s hired security firm on all related security issues.
• Ensure that all drivers follow the instructions given to them in the Local Security Plan.
• Ensure that the office in Monrovia and the field office is well-maintained and make sure that the duties are executed by the relevant staff member(s).
• Ensure that the guards perform their duties as indicated in the security guidelines and report to the Manager of Operations if deviations are noticed.

Asset and Warehouse:

• Ensure that all ZOA equipment is logged on the asset register, properly stored and deployed when required.
• Ensure that the asset register is maintained and update at all times.
• Maintain ZOA stores and warehouse, ensuring that stock management records are up to date and accurate.
• Ensure that ZOA stores and warehouse are dry, secure and clean at all times.

Others:

• Ensure that all ZOA Liberia logistics files are up to date and complete.
• Ensure that ZOA offices are maintained, with good electricity supply and water
• Carry out any other duties as directed by supervisor, MoO and CD.

Qualifications:

• Diploma in a relevant field
• Plus a recognized technical training in motor vehicle mechanics
• Possess a valid Liberian driver’s license and adhere to driving laws;
• Good knowledge of both spoken and written English;
• Ability to drive under difficult situations;
• Willingness to work in emergency situations and during odd hours, weekends and holidays when required.

Skills and Experience:

The successful candidate must have at least five years of experience in Logistics including experience working for non-governmental organization, as well as good analytical and organizational skills. In addition, the following skills and competencies are required:

• Through knowledge of fleet management and vehicle and motorbikes mechanics
• Knowledge of warehouse and inventory systems
• Excellent reporting skills and knowledge of working with computer (word, excel and outlook)

Terms of Employment:

The role is based in Monrovia and involves regular field-visits to the counties where ZOA operates.
