SOS Children’s Villages Liberia (established since 1981), is a Member Association of SOS Children’s Villages International
(established since 1949); an international, non-governmental and developmental organization with Global footprints in
over 133 Countries; promoting and protecting the interests and rights of children at risk of losing parental care and
providing alternative parental care to vulnerable children; whilst focusing of family-based care to strengthen their families
and communities
SOS Children’s Villages Liberia is currently operating a wide range of programs both in Monrovia and Juah Town- along
the Buchanan Highway; including its fully functional Children’s Villages, Family Strengthening Programs, Youth Facility,
the Hermann Gmeiner International School Program (Kindergarten, Elementary, Junior & Senior High) and its renowned
Medical Center.
SOS Children’s Villages Liberia is in search of competent candidates with the right attitude and agility to occupy the

Logistics Coordinator (1) Report to: Functional – Executive Secretary Matrix – Finance & Controlling Manager.

CHILD SAFEGUARDING:
The post holder may be required to have regular contact with or access to children or young people. As part of these
responsibilities the post holder will support the establishment of child safeguarding systems, promote a culture of
keeping children safe, and ensure that potential harm to children (by our own staff and/or as a result of how we do our
work) is identified and addressed on an ongoing basis. The post holder should report and respond to interventions as
determined by position related responsibilities identified in the Child Safeguarding Policy.

POSITION REQUIREMENT
 Bachelor Degree in Business Administration or Supply Chain Management; with Proven track record of 3 – 5 years‘ experience
as a logistician, operational management or related professional area;
 Knowledge of asset management systems and procedures
 Working knowledge of office equipment, like printers, scanners, photocopiers, etc.
 Proficiency in managing database
 MS Office (MS Excel and MS PowerPoint, in particular)
 Excellent time management skills and the ability to prioritize work
 Attention to detail and problem solving skills
 Excellent written and verbal communication skills to effectively negotiate with carriers, suppliers, custom brokers, and
customers
 Ability to identify measures or indicators of system performance that are relative to the goals of the system
 Strong organizational skills with the ability to multi-task and implement policies, processes and procedures
 Ability to supervise often difficult staff, effectively
 Willingness to take on additional duties and travel to other project sites from time to time as assigned by Supervisor
Positive and professional approach:
 Ability to work outside the normal working hours if required in an independent and cooperative manner
 Good decision making skills to be able to consider the relative cost and benefits of potential actions to decide on the best one
 Ability to identify complex problems and review related information to develop and evaluate options and implement solution.
 Well-versed in assets and supply chain management principles and practices
 Great record-keeping abilities and a customer-oriented approach.
 Knowledge of the use of logic and reasoning to identify the strengths and weaknesses of alternative solutions or approaches to
problems.
KEY PERFORMANCE AREAS
Assets & Warehouse Management
 Ensure all project assets are coded accordingly before distribution to end-users
 Liaise with the ICT Team to update all assets on the inventory listing
 Co-ordinate/Organize materials (stacking, packaging), project equipment and supplies for distribution
 Ensure asset tracking system is maintained and updated on a daily basis
 Collate a comprehensive report on all inventory on a quarterly and annual basis
 Oversee the branding of all assets
 Responsible for the day to day management of the warehouses
 Set up and implement a system to track every item that enters or leaves the warehouse and every person that enters or leaves
the warehouse
 Coordinate casual laborers hired to pack, move and/or distribute project assets as part of project activities.
 Liaise with Admin/Finance Officers to ensure that delivery of materials is done in a timely manner and that all goods purchased
are delivered to the SOS Children’s Villages Liberia
 Ensure detailed reports on stolen or damaged property are submitted by staff as appropriate.
 Manage and coordinate the organization, staffing, and operational activities for the National Association‘s warehouses and
stores
 Participate in the updates and implementation of goals, objectives, policies, and priorities of the NA
 Monitor storeroom and warehouse material usage
 Provide assistance in warehouse space utilization by designing facility layouts to achieve maximum storage efficiency
 Develop delivery schedules and drop shipment strategies
 Maintain accurate records and files of inventory usage
 Prepare and present inventory and fixed assets reports and other correspondence as appropriate and necessary
 Manage the bi-coding of all fixed assets
 Discover new trends and innovations in the fields of warehousing and storage areas.
Fleet Management
 Direct and review work plan for assigned staff
 Ensure that SOS Children’s Villages Liberia policies on fleet management are well implemented. This includes but is not
limited to the proper use of log sheets, vehicle requests, registration and insurance of vehicles;
 Ensure all vehicles are properly equipped, inspected and maintained.
 Ensure vehicle logbooks are accurate and properly maintained.
 Prepare monthly Fuel consumption reports for vehicles and generators of all the SOS Children’s Villages Liberia.
 Monitor and produce monthly fuel consumption and vehicle usage reports to ensure proper accountability;
 Develop/Maintain schedules and records for vehicle (including Generator) and maintenance;
 Coordinate vehicle maintenance with the field

timely processing of the documentation and maintenance work.
Security
 Ensure access control procedures are followed, including ensuring staff are well identified, monitor staff attendance and
visitors’ access;
 Implement, administer and maintain physical security systems;
 Day to day management of the security guard contract, including oversight of all guards assigned to project offices;
 Responsible for security reviews of the in-country field travel, including co-approval of field travel requests in conjunction with
the National Director and/or supervisor;
 ensure that security standards are maintained at all premises;
 As necessary, Report all potential and realized threats to National Director and/or HR Manager immediately;
 Maintain close liaison with government, UN and NGO security personnel and promptly provide updates to National Director,HR Manager and Supervisor; Facilities Management
 Implement appropriate safety guidelines and investigate injuries or unsafe conditions
 Review and recommend accommodation (i.e. guest houses, hotels) based on risk and events;
 Assist Admin to conduct regular security assessments of project facilities and expat residences;
 Ensure detailed incident reports, including police reports, as appropriate, are submitted by staff when accidents happen
 Liaise with National Director, the Executive Assistant and/or the HROD Manager on next steps following accidents;
EVALUATION
The Logistics Coordinator will be evaluated on a time-to-time and quarterly basis by Direct Report; who will provide feedback from
time-to-time to ensure consistencies in the implementation of the strategic intent of the organization. The following factors shall be
taken into account:
a. The quality of leadership, capabilities, organizational and administrative management style displayed.
b. Attitudes and behaviour toward transparency and accountability at all levels of work
c. General attitude towards work and accountabilities to beneficiaries, partners and donors
d. Implementation of policies, processes and procedures
e. Degree of implementation of the individual and departmental plans of activities.
