We are looking for an Office Assistant to join our team in ForumCiv Liberia!

In anticipation of a 4-year grant from Sida as part of our Programme, ForumCiv’s Country Office in Libera is looking to recruit an Office Assistant who should have knowledge of Office Administration in general, with focus on the country office day to day admin support.

The Office Assistant will be based at the ForumCiv Liberia Country office in Gbarnga, Bong County and reports to the Finance, Administrative & HR Manager.

The position is a full-time position with starting time in January 2022, or as agreed. Position description is as below.

Position description for Office Assistant

Areas of responsibility

  • Oversee daily and quarterly cleaning, monthly office fumigation and dusting of the offices and surfaces.
  • Assist staff in operating office equipment e.g., photocopier, scanner, printer, shredder, etc.
  • Purchase of office stationery and any other needed purchases e.g., purchase of office water
  • Maintain neatness of the office at all times.
  • Oversee preparation of office tea, provision of snacks and cleaning utensils.
  • Coordination of office supply inventories and keeping track of movements of stationeries.
  • Assisting finance and admin offices in filing.
  • Handling and writing cheques as requested.
  • Acting as the bank agent – withdrawing cash, picking cheque book, etc.

Qualifications and capacity required

  • Minimum high school certificate with proven experience. Minimum 2 years of work experience with an INGO and in similar role. Able to prioritize work, multi-task and meet deadlines
  • Maturity and discretion, able to work with, and maintain confidential information
  • computer skills, particularly Excel, Word and, etc.
  • Understanding and experience of living and working in rural counties in Liberia

About ForumCiv and the Liberia Country Programme

ForumCiv is a civil society member organisation that works with development issues from a rights-based perspective. Our vision is “a just and sustainable world where all people have the power to effect change”. We work with advocacy and capacity building of partner organisations around the world, on issues relating to democracy and human rights. We mediate grants from Sida to Swedish organisations cooperating with local partners in about 70 countries. We have offices in Sweden, Vilnius, Cambodia, Colombia, Kenya and Liberia. ForumCiv was founded in 1995 and is the largest civil society platform in Sweden with about 170 member organisations..

In 2018 ForumCiv received a grant of 51 million Swedish Krono from the Embassy of Sweden near Monrovia to support strengthening the fledging civil society organizations in the rural counties of Liberia.

With a focus on Land rights, Gender, Environment, and Democracy and Human rights, the Sustainable Ownership Programme has provided grants valued around 7 million Swedish Krona to 35 organizations for the implementation of projects in Bomi, Bong and Grand Gedeh Counties. We have also contributed to strengthening the organizational capacities of our partners by supporting them to develop/improve on their structures, systems and controls to allow for effective governance and management, and to promote sustainability.

In 2020 we hosted Liberia’s first ever Women Land Rights Conference that brought together members of the donor community, civil society, rural women from across Liberia, line ministries and agencies, the media, etc.; to review progress that had been made towards women’s land rights since the Land Rights Act was passed in 2018, provide a platform for rural women to engage with decision and policy makers, and development actors, to flag challenges that limit the enjoyment of their land rights, and crave strategies for advocacy. The resolution from the conference was presented to the president of Liberia in February this year.

ForumCiv is also a part of an Action Aid led consortium which includes the Development Education Network Liberia (DEN-L) and is implementing a 3-year European Union funded Land Rights Project in Grand Gedeh, River Gee, and Sinoe Counties. The project runs to 2024.

ForumCiv’s Sustainable Ownership Programme will come to an end on 31st December 2021.Based on the achievements and lessons that have been learnt from the Sustainable Ownership Programme, ForumCiv has requested for additional support for a 4-year programme from Sida. When approved, this programme will commence in January 2022. ForumCiv will maintain the thematic of the previous programme but with a focus on strengthening the technical and structural capacities of partners, we will also support community led development actions, we will also set up resources centers which will be equipped with resource materials to support research, advocacy and research.
