Purpose

The Office Assistant is responsible for maintaining a clean, safe, organized, and efficient office environment by managing office stores and stock records, performing routine cleaning and sanitation of workspaces and facilities, stocking office supplies, and reporting maintenance needs. The role supports the smooth daily operation of the organization through effective housekeeping, inventory management, and facility upkeep while ensuring compliance with health, safety, and safeguarding standards.

Key Responsibilities:

  • Maintain an office store with proper documentation and will be responsible for the store and stock.
  • Responsible for cleaning the workspaces, including restrooms; emptying trash bins, cleaning windows, dusting furniture, and performing other related duties to promote a tidy environment for all. Responsible for floor care, performing various surface tasks, including vacuuming, mopping, sweeping, and spot-cleaning of all office areas and non-production employee lounge
  • Responsible for the maintenance of employee lounge tables, chairs, and counters, carrying out tasks such as dusting, spraying, and cleaning
  • Responsible for removing trash in office areas
  • Responsible for cleaning and sanitizing restrooms daily
  • Responsible for cleaning windows in conference rooms, management offices, etc.
  • Perform dusting, disinfecting, and polishing of surfaces and furniture as needed
  • May be required to shop for cleaning supplies as needed
  • May be required to stock Kitchen and Board Room supplies as needed
  • Responsible for reporting repairs and replacements encountered when executing daily tasks.

Safeguarding

  • Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve BRAC’s goals on safeguarding.
  • Act as a resource of support and expertise on safeguarding for establishing a safe working environment.
  • Practice, promote, and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  • Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

Academic Qualifications:

  • Education: Applicants for the office assistant must be junior high school graduates or the equivalent.

Required Skills, Competencies & Knowledge:

  • Education: Applicants for the office assistant must be junior high school graduates or the equivalent.
  • Knowledge: Employers are interested in applicants who have at least basic knowledge of cleaning products, including chemicals and supplies, and methods used in office cleaning
  • Part of the job of the office cleaner is to ensure the safety of the environment. It is also useful that they can operate automatic floor scrubbing machines, floor buffers, and wet and dry vacuums
  • Communication skills: applicants that can read, write, and speak the English language at a level necessary for efficient performance. They also need good communication skills to effectively follow written or verbal instructions
  • Interpersonal skills: Besides providing support to the staff of the organization, office cleaners have contact with customers and may be required to provide directions or other assistance to them. Hence, it is important that they can establish and maintain effective working relationships with team members, co-workers, or clients
  • Detail orientation: To perform the job of an office cleaner successfully, the individual must give attention to detail when cleaning
