Job Description
Position Title: Office Manager
Reporting to: Executive Director
Background
Serene is a local non-profit organization established in November 2013 to provide free health care to
vulnerable women and children through mobile clinic.
Job Purpose
To manage Serene Health daily activities. To ensure the provision of effective administrative support
to the Executive Director, serving as the first point of contact for guests. Handle personnel issue, office
supplies, staff attendance and evaluation etc.
Main Duties
1. To manage the Serene Health daily activities.
2. To oversee the office’s incoming and outgoing communication, identifying priorities and dealing
directly with a wide range of matters. Communicate with colleagues, volunteers, beneficiaries and
other interested partners to ensure timely responses to issues.
3. To develop and maintain office systems to maximise efficiency and effectiveness.
4. To oversee the maintenance and development of administrative systems for tracking and
managing incoming communications.
5. To ensure compliance with Serene Health policies at all times and ensure that the duties of the
post are undertaken in accordance with the organization’s agreed procedures.
6. Any other duties commensurate with the post, as requested.
Person Specification
Knowledge
Essential:
• A post-secondary education in a relevant topic such as Administration, Management, Sociology is
desirable.
• Advanced Microsoft Word, Excel and PowerPoint desirable
• An understanding of the demands of a growing health NGO and a start-up organisation such as
Serene Health.
• An understanding of the principles of performance management and the ability to manage staff.
• A comprehensive and up-to-date knowledge of office systems and procedures.
Skills
Essential:
• Proactive approach with strong planning, implementation and multitasking skills, ability to work to
deadlines and manage conflicting priorities
• Comfortable reacting to urgent and unexpected demands and juggling priorities accordingly
• A strong eye for detail and an understanding of what makes for good design
• Proven team player with a can do, collaborative approach
• High levels of integrity, confidentiality and good judgement
• Calm demeanour and capable of working well under pressure
• Excellent communication skills and command of the English language.
Experience
Essential:
• Prior experience working with local non-profit organization is desirable
• Drafting correspondence and briefing notes/reports.
• Proven success in completing tasks to tight deadlines and working without supervision.
• Internet research to access information.
