Office Manager

Solidaridad West Africa (SWA) is a not-for-profit organisation that supports the sustainable
development of production systems in West Africa. We play a catalytic role by partnering with private
sector companies and other stakeholders to foster the development of socially responsible,
ecologically sound and profitable supply chains. Our activities in West Africa are focused on cocoa,
gold, oil palm, cotton, soy and other commodities.
As one of the Regional Expertise Centres (REC) within Solidaridad’s Network. We are part of a
growing global organization advocating and supporting sustainable and responsible production and
trade. SWA focuses on stimulating sustainable supply chains through introduction of innovations in
good practices, robust infrastructure, sustainable landscapes management and enabling the policy.
The Solidaridad regional office is based in Accra, Ghana and currently has programmes and operations
in Sierra Leone, Cameroon, Cote D’Ivoire, Ghana, Liberia and Nigeria.
The Solidaridad Liberia Country Program seeks to recruit a highly qualified and self-motivated Office
Manager. The position is based in Monrovia, Montserrado County.
POSITION SUMMARY
The Office Manager is responsible for the efficient, effective and overall management of the office.
and provides unparalleled administrative support to programmes, staff, and partners in order to
contribute to Solidaridad’s Programme objective in Liberia
KEY RESPONSIBILITIES
• Coordinates with the REC’s administration/travel agents for the purchase of international
and domestic tickets
• Issues tickets and files documents for completed transactions
• Manages visa and other required travel permission and documents
• Co-ordinates and manages the deployment and scheduling of drivers
• Takes charge of accommodation arrangements for arriving visitors
• Organizes/co-ordinates logistical management in planning, implementation, and
documentation of meetings, workshops, seminars and other activities
• Arranges visitors’ programmes, make travel arrangements, and manages travel
requirements
• Organises and maintains documentation and filing systems according to Solidaridad’s
standards
• Maintains the assets register and office inventory records
• Overall smooth and uninterrupted functioning of the office (availability of electricity, water
internet, etc.)
• Liaises with external service providers (e.g. air-condition maintenance etc)
• Ensures timely insurance renewals and roadworthy certificates for the fleet of vehicles
• Assists in the recruitment of new staff
• Coordinate and manage the onboarding of new staff and ensure new hire paperwork
process and follow-ups (medicals, induction/orientation paperwork etc)
• Provides bank account and social security details of newly recruited personnel to the
finance department
• Ensures that new staff get the needed working tools, email account etc to enable them to
carry out their work
• Liaises with administrators of staff benefit programs (health and life insurance) to ensure
maximum benefit for staff
• Create personnel file for new staff ensuring the confidentiality of employee information
• Manages personnel files; ensuring that contracts, leave records, training records etc are
kept on the personnel files
• Keeps informed about changes in labour and social laws
KNOWLEDGE, SKILLS & ABILITIES
• A Bachelor’s degree in Administration, Social Science or other related fields
• Minimum 5 years in a similar position
• Solid knowledge of office procedures and office management tools
• Ability to complete a variety of tasks in an organised and adaptable manner
• Strong problem-solving attitude
• Strong oral and written communication skills with the ability to handle extremely confidential
and sensitive information
• Planning and organizing skills
