Terms of Reference (TOR)

Position: Operations Manager

Location: Congo Town, Monrovia

Salary: $325 + ($25 Transportation Allowance)

Report to: Principal

Contract Duration: 12 Months (with possibility of renewal based on performance)

  • Fieldwork and travel may be required based on operational needs.
  • 9am – 5pm (Monday – Friday) working hours

Our work extends internationally with offices in Liberia and in the United States, but our foundation is built on serving local communities with compassion and expertise.

Purpose of the Position

This position will provide comprehensive operational support across immigration services, education consulting, school research, client management, marketing, documentation, administrative tasks etc. The role is designed to ensure smooth service delivery, accurate documentation, effective client communication, marketing, and continuous growth of The Palava Hut’s education and immigration services.

Scope of Work and Responsibilities

  1. Immigration & Visa Support
  • Assist clients with various immigration services but not limited to:
    • Student visas
    • Family-based immigration
    • Diversity Visa (DV) Lottery
    • Citizenship and naturalization applications
  • Prepare, review, organize, and file immigration documents and forms.
  • Ensure accuracy, completeness, and compliance with immigration requirements.
  • Track application statuses and provide regular updates to clients.
  • Attend immigration-related meetings, interviews, and consultations as required.

 

  1. Education & School Research Support
  • Research universities and colleges internationally.
  • Support student applications, admissions processes, and enrollment procedures etc.
  • Advise students on suitable programs, institutions, and entry requirements.
  • Collaborate with our global education partners
  • Assist with English language preparation programs and testing center coordination.
  • Maintain updated databases of partner institutions and program offerings.

 

  1. Client Services & Consultation Support
  • Schedule and manage client consultations and appointments.
  • Provide accurate information and basic counseling on immigration and education pathways.
  • Maintain professional communication with clients via phone, email, and in-person meetings.
  • Follow up with clients and ensure timely delivery of service.

 

  1. Marketing & Business Development
  • Support marketing activities aimed at attracting new clients.
  • Assist with advertising campaigns (online and offline).
  • Participate in outreach, promotional events, and information sessions.
  • Help identify new market opportunities for immigration and education services.

 

  1. Field Activities
  • Conduct field visits to partner institutions, testing centers, government offices, and events.
  • Represent The Palava Hut professionally during external engagements.
  • Assist with document submissions and follow-ups at relevant offices.

 

  1. Administrative & Basic Accounting Support
  • Provide basic accounting and financial record-keeping support (receipts, payments, tracking expenses).
  • Maintain organized physical and digital filing systems.
  • Prepare reports, summaries, and internal documentation as required.
  • Support day-to-day office operations and logistics.

 

Required Qualifications and Skills

Qualifications

  • Bachelor’s degree in Business Administration, Marketing, Accounting or related fields (Experienced in Marketing is a plus)
  • Relevant experience in immigration services, education consulting, or administrative support is a plus.

 

Skills & Competencies

  • Strong organizational and documentation skills.
  • Excellent speaking and communication and interpersonal abilities.
  • Ability to manage multiple tasks and responsibilities simultaneously.
  • Research and data management skills.
  • Basic accounting and record-keeping knowledge.
  • Proficiency in Microsoft Office and online research tools.
  • Ability to work independently and as part of a small team.
