The Maryland Oil Palm Plantation (MOPP), which is involved with the Oil palm production; and operating in Maryland County – Liberia, requires the professional services of the following:
Position: Procurement Assistant (Ref #: SDPA / MOPP– 1005-22)
Number Needed: One (1)
Duty Station: MOPP Plantation, Maryland County
Duration: Indefinite (but begins with three months probationary period)

Purpose:
Reporting to Supply Chain manager, you will be mainly responsible for managing all procurement and inventory controls. Regarding this main objective.
Duties and Responsibilities:
- Launch the procurement process after collecting, challenging and analyzing needs expressed by various requesters in terms of quantity and quality of goods or materials to be supplied
- Define and Monitor the levels of strategic and critical stocks and launch an automatic and systematic replenishment in accordance with the stocks officers
- Track orders and deliveries status and schedule in relation with the SCM the periodical meetings on supplies and stocks updates with the HODs.
- Monitor and have a control over all movements in and out the various warehouses and insure the production and the issuance of the appropriate documentation related to these movements for controls before submission to Finance Department for posting in the software.
- Monitor stock data recording in the procurement and stocks software
- Implement appropriate controls related to the optimal usage of the stock, and efficient warehousing of goods and materials stored in various warehouses
- Plan and organize in relation with Business Control Department the periodical stock counts and produce the gap analysis explanations report
- Maintain accurate written procurement and stocks procedures and update them if needed to match the appropriate requirements in terms of key controls and manage control measures to ensure mistakes, inaccuracies and discrepancies are highlighted, addressed and resolved.
- To prepare, after getting proper details from HOD and being validated by the SCM service contracts and make a close follow-up (updates on implementation, payments, delays…) by updating the contract Tracking Sheet
- Make a follow-up on the import documentation in line with our custom brokers
- Collection and analysis of all purchase requisitions from various department regarding the stock availability before putting for order.
- Validate the character of the purchase to be made (stock or charge) and challenge the needs expressed for final validation of quantities to be bought
- Make an analysis and hold statistics of the most requested and recurrent stock items and put a systematic order to maintain a certain level of stock availability and avoid stocks shortages
- Record all the purchase requisition and track each of them for delivery status and inform periodically the requesters through reporting the status of these orders
Knowledge/Experience required for this Job
Internal:
– Education: Bachelor’s Degree in Accountant, Supply Chain Management or Any related area.
*Experience: At least 2 years of working experience
External:
– Education: Bachelor’s Degree in Accountant, Supply Chain Management or Any related area.
Experience: At least 5 years of working experience.
