Summary of Position:
Under the guidance and supervision of the Procurement & Contracts Administrator, the Procurement Clerk will support all contracting and procurement functions for PREVAIL. S/he will support a variety of activities within the department including but not limited to supporting the execution of vendor agreements, administrative tasks including filing, scanning, and conducting background checks on proposed vendors, and updating trackers. The Procurement Clerk is responsible for adhering to key templates and the development and implementation of functional projects focused on improving the effectiveness or efficiency of processes. S/he may also play a role in process improvement efforts related to standardization/streamlining of operations and enhancing the values of the company. S/he should also possess some level of software/systems expertise that can be applied for the benefit of the department/organization.
Description of Responsibilities:
With support from the Procurement & Contracts Administrator, the Procurement Clerk is responsible for scanning and filing all Contracts & Procurement-related documents in TMG’s project storage folders.
Keep track of all incoming Purchase Requisitions in the Purchase Requisition tracker
Conduct security searches on vendors
Receive invoices from assigned staff for onward submission to the Procurement & Contracts Administrator (PCA)
Enter prices in the Quotation & Matrix for Procurement & Contracts Administrator (PCA) analysis.
Serve as focal person for all Contracts & Procurement related documents coming from the sites, keeping a record of all documents received. Ensure physical documents received from the sites are sorted and delivered to the PCA for action.
Perform any other duty as may be assigned.
Skills:
Ability to handle oral and written communications independently.
Demonstrates ability to assume sole and independent responsibility for various assigned projects.
Works on assignments that are typical for a Contracts & Procurement administrative office setting.
Comfortable working in Microsoft software, including Word, Excel and Outlook
Strong organizational skills
Escalates issues and navigates obstacles to deliver work in a timely manner.

Qualifications
Certificate or Diploma in a related field or a combination of working experience.
Must have at least an Associate degree in a business-related field.
Preferred Job-related Experience: minimum of one (1) to two (2) years of experience in providing administrative clerical and/or Procurement support within a non-governmental institution.
Additional requirements: Effectively communicates in English, both verbally and in writing. Good working skills in MS Office Suite (Word, Outlook, Excel, PowerPoint). Comfortable working with cloud-based files, scanning huge quantities of documents, and administrative tasks. Proven background in technology software skills is preferred.
