About PREVAIL:
PREVAIL, or the Partnership for Research on Vaccines and Infectious Diseases in Liberia, is a clinical research partnership between the U.S. Department of Health and Human Services and the Liberian Ministry of Health.
Summary of Position:
The Receptionist will be responsible for front office and receptionist tasks at Prevail central office at AM Dogliotti College of Health Sciences campus. The receptionist will also provide administrative support to direct supervisor as well as multiple management staff and their immediate teams. The receptionist will schedule and maintain the calendar and travel itineraries of the office, as well as arrange and coordinate meetings. The receptionist will have the ability to interact professionally with senior and mid-level managers, staff, visitors, providers, participants, guests, vendors, etc. The receptionist will assist in time reporting management, expenses, perform administrative and clerical duties and prepare correspondence as deemed necessary. The receptionist will perform regular inventory checks and order supplies as needed. The Receptionist will exercise sound judgment and discretion when handling sensitive matters, arrange essential incoming items in priority action order, and manage deadlines on incoming requests to successful completion.
Description of Responsibilities:
 Greets all incoming guests, staff, and any other traffic that circulates through the 1st floor of the Prevail central office in a professional and polite manner.
 Addresses all visitors’ concerns fully.
 Communicates effectively, politely, and pleasantly and manages interrelationships.
 Follows organization policies and procedures, adheres to policies regarding confidentiality.
 Promotes safety awareness in the department and follows proper procedures in reporting all employee Concerns.
 Prepares site requisitions (clinical and office supplies) and submits to Supervisor for procurement.
 Manages inventory of clinical and office supplies, prepare and submit monthly report on inventories.
 Conducts a regular stock count bi-weekly/monthly and update FINALE.
 Coordinates fleet and movement in collaboration with the Logistician at AMD
 Perform all other duties as required by the Supervisor.
 Other duties as assigned.
Skills:
 Proficient in communication skills both written and verbal: spelling, vocabulary and grammar.
 Attention to detail is a must.
 Ability to establish and maintain office records and files.

 Ability to perform a variety of important, sometimes urgent, confidential and complex tasks.
 Time management skills are required to prioritize assignments and deliver projects within required schedules.
 High energy level, strong work ethic and extroverted.
 Proficient in Microsoft Office, especially in Word, Excel and PowerPoint.
 Ability to mail merge in Word/Excel set up formulas in Excel and layout in PowerPoint.
Qualifications:
 Education: High School Diploma or Certificate/diploma in Customer Service required.
 Preferred Job-related Experience: At least two (2) years of administration experience.
