Scope of Work (SOW) for Cleaning Services
1. Introduction
This Scope of Work (SOW) outlines the cleaning services to be performed by the contracted cleaning firm
for the Mercy Corps Liberia located at Mamba Point, Around Gate 3.
2. Objectives
• Ensure all office spaces, restrooms, common areas, and outdoor surroundings are kept clean and
well-maintained.
• Maintain high standards of sanitation and hygiene.
• Support the organization’s overall workplace health and safety standards.
3. Areas to Be Cleaned
The cleaning firm shall be responsible for the following areas:
• Office spaces: desks, chairs, floors, windows, doors, and partitions
• Conference/meeting rooms
• Reception area and waiting lounge
• Restrooms (male/female)
• Kitchens/pantry areas
• Corridors, stairways, and common spaces
• Outdoor surroundings and walkways (if applicable)
• Storerooms and utility areas
4. Cleaning Tasks and Frequency

5. Supplies and Equipment
The cleaning firm shall provide all cleaning materials, tools, and equipment, including but not limited to:
• Cleaning detergents, disinfectants, and air fresheners
• Mops, brooms, buckets, and vacuum cleaners
• Trash bags and bins
• Gloves and protective gear for cleaners
6. Personnel Requirements
• The firm shall provide adequately trained cleaning staff.
• All staff must wear identifiable uniforms and ID badges.
• Staff must maintain professional conduct and confidentiality while on premises.
• A supervisor shall be assigned to monitor daily cleaning activities and report to Facility focal person.
7. Work Schedule
Cleaning activities shall be conducted during working hours 7:30 am – 4:00 PM daily], unless otherwise
approved by the management.
8. Performance Standards
• The facility must always appear clean, odor-free, and presentable.
• All complaints or deficiencies reported by management must be addressed within 24 hours.
• Regular inspections will be conducted to ensure compliance with cleaning standards.
9. Duration of Contract
The cleaning services shall be provided for a period of 12 months commencing on January 1, 2026 and
ending on December 31, 2026, subject to renewal upon satisfactory performance.
10. Reporting and Supervision
• The cleaning supervisor shall maintain a daily checklist of completed tasks.
• A monthly performance review will be conducted jointly with the Organization’s representative.
• Any incidents, damages, or safety concerns must be immediately reported.
11. Payment Terms
Payment shall be made monthly on or before the 25th of every month upon submission of an invoice and
satisfactory completion of services as per the agreed terms.
12. Termination Clause
Either party may terminate the contract with 30 days written notice in case of unsatisfactory performance or
breach of contract terms.
