CONSULTANCY FOR ASSETS VERIFICATION, TAGGING OF FIXED ASSETS, AND DEVELOPMENT OF FIXED ASSETS REGISTER FOR BRAC LIBERIA LIBERIA.

• Background

BRAC Liberia has a wide range of assets, including furniture, ICT assets, equipment, and machinery. To fulfill its mandate, BRAC Liberia needs to systematically document its fixed and movable assets. Therefore, BRAC Liberia aims to identify, verify, and tag all of its assets and prepare an inventory of all its assets at the country office and other branches in Liberia. This will be done following the generally accepted accounting standards and will comply with prudent financial management practices.

To improve asset management and keep the financial statements, records, and reporting up to date, BRAC Liberia intends to develop a comprehensive inventory of all its assets complete with quantitative and qualitative variables and provide details of all damaged assets due for disposal.

BRAC Liberia, therefore, would like to procure consultancy services for asset identification, verification, and tagging of all its assets in the country office, staff residence and all 36 branch offices.

• Objective of the Assignment

The key objectives of the assignment are:

1. Identify all the BRAC Liberia existing physical assets
2. Develop an asset register, assess the asset condition and useful life, and assign identification numbers/ tags based on the projects.
3. Tag all the fixed assets
4. Develop and recommend a methodology for periodic identification and verification of BRAC Liberia assets
5. Develop an updated fixed assets register.
6. Train staff on how to update the fixed assets register following the additions and disposal.

• Scope

The scope covers all assets that BRAC Liberia has at all its offices and residences,

The assets include but are not limited to the following:

1. Plant machinery and motor vehicles
2. Furniture and office equipment
3. Computers and accessories
4. Maintenance tools and equipment

Assignment Procedure

1. The consultant shall carry out a comprehensive and complete physical identification and verification of all assets.
2. The consultant shall tag all BRAC Liberia assets with good quality and durable aluminum Barcode tags with BRAC Liberia’s logo and code numbers.
3. Provide a listing of all tagged assets and their locations.
4. The consultant shall identify and indicate any obsolete/damaged assets captured.

• Deliverables

The key deliverables for the provision of these services have been highlighted but not limited to the following:

The service provider shall provide a report that must be detailed and comprehensive.

The report shall be presented in both hard and Soft Copies presented to the Head of Operations in both editable (Ms. Excel) and PDF format and also share on email.

The report (both hardcopy and soft copy) should include:

1. Description of asset-Include the physical location, units, region, date of acquisition and original cost, etc
2. Make and model number (where applicable)
3. Asset Location
4. Asset Tag number
5. Asset Serial Number
6. Asset Status- in service/obsolete
7. Asset Category
8. Asset Sub Category
9. Any other relevant remarks for the asset.

• Specifications for the asset tags

1. Aluminium bar code (good quality)
2. Alphanumeric code
3. Code is readable by a scanner
4. Can use an adhesive that can stick to metal, plastic, wood, and any other surface and should be durable.

• Submission of Proposal

1. Interested firms are requested to submit their technical proposal and financial proposal.

Content of Proposal

• Technical Component

• Description and profile of the firm
• Detailed proposed approach and methodology.
• Timing of activities and reports.
• Evidence of the past related experience (give contact details of the past clients and attach awards contracts)

• Financial Component

The price component shall have a cover letter wherein your firm/institution’s authorized representative affirms the following:

• A summary of the price;
• The period of its validity;
• Taxes
• Other costs if any (indicating nature and breakdown).

1. Please attach a copy of your PIN certificate, Certificate of Incorporation, and up-to-date Tax compliance certificate.
2. Your proposal shall be prepared in the English Language.
3. The envelope must be clearly marked “CONSULTANCY SERVICES FOR ASSETS VERIFICATION, TAGGING OF FIXED ASSETS, AND DEVELOPMENT OF FIXED ASSETS REGISTER FOR BRAC LIBERIA”
4. Proposal must be received on or before June 12, 2024 @2:00PM GMT.
