POSITION: Secretary for the General Manager’s Office

CLASSIFICATION: A 1

REPORT TO: General Manager

DEPARTMENT: Administration

Job Summary:

The Secretary to the General Manager is responsible for providing comprehensive support to the General Manager (GM) in administrative tasks, scheduling, communication, and coordination. This role requires a high level of professionalism, confidentiality, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

Administrative Support:

  • Manage and organize the GM’s schedule, including meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing mail, emails, and phone calls, ensuring timely and appropriate responses.
  • Maintain filing systems, both electronic and physical, ensuring documents are easily accessible.

Meeting Coordination:

  • Organize and coordinate meetings, including preparing agendas, distributing meeting materials, and taking minutes.
  • Arrange facilities, equipment, and refreshments as needed for meetings.
  • Follow up on action items from meetings to ensure completion.

Communication:

  • Act as the point of contact between the GM and internal/external stakeholders.
  • Draft and send communications on behalf of the GM.
  • Ensure information flow within the organization is efficient and clear.

Office Management:

  • Oversee office supplies and equipment, ensuring necessary items are stocked and functional.
  • Coordinate with other departments for office-related needs and services.

Confidentiality:

  • Maintain confidentiality of sensitive information and handle all tasks with discretion.
  • Ensure that confidential records are protected and secure.

Qualifications:

  • Education: High school diploma or equivalent; a Bachelor’s degree in Business Administration or related field is preferred.
  • Experience: Minimum of 3-5 years of experience in an administrative role, preferably supporting senior management.

Skills:

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and prioritize tasks.
  • A high degree of attention to detail and accuracy.
  • Professional appearance.
