programmes based on a bi-lateral agreement between the Governments of Germany and Sierra
Leone. As a provider of international cooperation services for sustainable development and

has over 50 years of experience in a wide variety of areas, including economic development and
employment, energy and the environment, and peace and security. GIZ has been working in Sierra
Leone since 1963 with now more than 100 national and international personnel working in projects
implemented together with our Sierra Leonean partners funded by the German Government, the EU,
and others.
We are advertising the position of one “Admin Interns in Liberia”.
As an administrative intern in the GIZ Country Office Freetown Monrovia Branch, you will get an
insight in the administrative job family with GIZ and support the admin team in Monrovia in preparing
documents for file shipment to Germany and movement of the GIZ County Office Monrovia to a new
office to be identified. The Country Office aims to support the implementation of GIZ operations in
Liberia through its different projects
This is a 3-months internship with the possibility of an extension of another 3 months.
You are responsible for supporting the administrative team in Monrovia in the preparation of
box files for shipment Germany.
You are responsible for supporting the administrative team in Monrovia in preparation of office
equipment’s and furniture’s for movement to the new Country Office to be identified.
You will support the administrative team in Monrovia with other administrative tasks such as
procurement documentations, contract arrangements and vehicle check.
You are responsible for supporting the admin team in updating the assets inventory.
You will support the procurement and finance team with taking minutes of meetings and
attending some internal and external meetings where necessary.
Specific tasks of the Administrative Interns include, but are not limited to:
Procurement:
Supporting the admin team in hard copy filing of procurement documents
Reviewing procurement documents for completeness
Supporting the procurement officer in procurement processes
Finance:
Supporting the finance office in labeling of box files and arrangement of vouchers
Check incoming invoices and assist in getting invoices processed
Assist in checking settlement vouchers for correctness
Support in checking and scanning of vouchers for audit
Contracting:
Supporting the admin team in hard and soft copy filing of contract documents
Reviewing contract files for completeness
Supporting the procurement officer in contracting processes
Assets:
Supporting the admin team in verifying and updating the project’s asset register
Supporting the admin team in compiling lists of assets for handover to partners
Preparation of handover documents
Filing of handover documents both in hard and soft copy
Supporting the admin team in booking out some broken/faulty assets from the inventory
Vehicle Logbooks:
Supporting the admin team in quality control of vehicle logbook
Supporting the admin team in fuel consumption calculations
Filing:
Supporting the admin team in sorting out and achieving old admin files
Other support:
Supporting in dispatching of visa applications to Liberia Immigration office with driver
Attending internal and external meetings and workshops on behalf of office when required
Any other task as assigned by the line manager and country office Liberia team
Supervision Received
Receives general direction from the Country Office Liberia team and Head of Finance &
Administration in Freetown.
Qualifications
Final year student or recent graduate (not more than eight months ago) of a degree
programme in accounting, financing, social sciences, or similar.
Excellent working knowledge of Microsoft Word, Outlook, Excel and PowerPoint.
English, also in reading and writing level C2, is a must.
Professional experience
First experience in the admin or accounting field, e.g. through internship(s).
Other knowledge, additional competences
Commitment, team spirit, reliability and gender competence.
Ability to think and act strategically and analytically and having an eye for the essentials
Willingness to learn and to work in an international team.
Self-drive, creativity, and problem-solving capacity are required.
Able to work under supervision as well as independently.
Committed to deadlines and goal-oriented person.
