VACANCY ANNOUNCEMENT
ARCHIVIST
CORE RESPONSIBILITIES
 Electronically file all originals financial documents according to budget (contract) and
budget line while maintaining hard copies;
 Check that all the invoices are present for each budget line and each contract;
 File the photocopies of invoices according to the books (cash and bank) of each work base
 Reclassify the invoices according to their new budget lines if necessary, particularly when
they have been used in various operations (redistribution of the initial budget lines);
 If requested by the Finances manager, look for the original invoices or photocopies, then
reclassify them correctly.
 At the end of the contract or annually, prepare the files to be sent to headquarters (final
checking of invoices and their presence, complete the risk file if necessary);
 Finalize the dispatch of files by adding labels and adequate packaging.
 Check that all invoices and their amounts are present as from their reception.
 Prepare a report for the Finance Manager of all missing invoices or differences in amounts
from the Excel file.
 Check the nature of the document and its presentation (photocopy, original, pro forma,
translation, date, signature, stamp, terms used, accuracy of calculations, etc.);
 Record in the filing report all errors in the wads (bundles);
 Whenever possible, improve the quality of the presentation of wads: translation, date
(according to the data base file), addition of a calculation note (ticket), etc.
 After the monthly accounting closure check the accounting codes, the project codes and
the budget codes;

Action Against Hunger is an international network (Paris, New York, London, Toronto, Madrid
and New Delhi) committed to ending world hunger. Action Against Hunger (AAH) has been
working in Liberia since 1990 with the purpose to respond to the needs of the most vulnerable
people, at first during the emergencies and then in a more development setting, until the 2014 Ebola
outbreak and the emergency it generated in the country. AAH interventions in Liberia aim at
improving the nutrition security of the population, with particular focus on children under-five and
pregnant and lactating women. AAH aims at doing so by implementing multi-sectorial programs,
which encompass direct nutrition intervention and prevention activities to address the underlining
causes of undernutrition, i.e. poor health, food insecurity, poor care practices, and poor access to
water and sanitation. AAH also has an integrated advocacy strategy in the mission that cuts across
all the sectors.
Action Against Hunger is currently recruiting an Archivist who shall be responsible to check the registration
of accounting data and organize financial document filing. Prepare documentation for financial audits.
 Take action to correct any errors in the invoices as requested by supervisor;
 Immediately inform the finance manager if the statement of the accounting software differ
from that of the invoice.
QUALIFICATIONS
 Bachelor of Arts Degree in accounting, financial management, or any of the business
related courses with at least 1-year experience working in document controls in the
financial context.
 At least 1 year experience in archiving and or document control
REQUIRED COMPETENCE AND SKILLS:
 Good understanding of documents organization
 Experience in using office scanner, photocopier and other office equipment
 Extensive knowledge in understanding accounting codes
 Familiarity with electronic filing while maintaining hard copies
 Good attention to details and demonstrated ability to review documents with accuracy
 Ability to work with minimum supervision
 Good computer skills (Microsoft office suit)
 Flexibility for field work and extra hours when required
Remuneration package
 Probable start date: 28th July 2021
 Duration of contract: 5 month
 Location: Montserrado with travel to other locations
 Monthly basic salary: 490
 Monthly transport allowance: 75 USD
 Monthly education allowance: 90 USD
