We are currently seeking qualified candidates for the position of Project Assistant for the Meeting Targets and Maintaining Epidemic Control (EpiC) project in Liberia.

EpiC is a five-year global project funded by the U.S. President’s Emergency Plan for AIDS Relief (PEPFAR) and the U.S. Agency for International Development (USAID). In Liberia, the project provides technical assistance (TA) and direct service delivery to break through barriers to 95-95-95 and promote self-reliant management of national HIV programs by improving HIV case-finding, prevention, treatment programming and viral load (VL) suppression among key and vulnerable populations.

JOB SUMMARY:

Under the direct supervision of the Associate Finance Director, the Project Assistant will provide a full range of operational project and administrative support to the technical team and the Project Director. The Project Assistant will work with the technical team to ensure the smooth implementation of project activities including the coordination of workshops, trainings and meetings.

KEY RESPONSIBILITIES:

Procurement support to technical teams

  • Be the first point of contact for the procurement of goods and services for the technical team, Track, plan for, and organize the necessary documentations (PR, TOR and draft RFQs) needed to support the procurement team to initiate and complete procurements requested smoothly. In tandem with the procurement team at the EpiC Liberia office, and on behalf of the technical teams, follow through the procurement processes to ensure the timely and smooth delivery of goods and services requested by the technical teams.
  • Organize and serve as secretary for all procurement committees established for purchases relating to the EpiC Liberia technical teams.

Operational support to EpiC Project Director and technical teams

  • Manage all operational and administrative needs of the office of the EpiC Project Director. Support and work with the technical teams in all logistical and administrative support in planning, organizing workshops/trainings and meetings.
  • Assist with travel, accommodation and conference organization to meet project needs. Perform other related duties as assigned.

REQUIREMENTS:

  1. Knowledge of general office practices and administrative procedures
  2. Resourceful in gathering and providing information.
  3. Written, verbal, and organizational skills.
  4. English grammar and punctuation skills.

JOB DESCRIPTION

  1. Relevant computer software skills including Microsoft office products.
  2. Resourceful through use of technology, research skills, and collegial relationships to resolve problems and initiate enhancements
  3. Respond to inquiries independently and follow-up on requests in an efficient manner 8. Liaise between EpiC technical team and other support groups (eg. IT, Administration, Procurement)

Education/Experience:

  • Higher National Diploma in business, management, development, health or related field. At least 3 – 5 years’ experience in a similar role preferably with an NGO
  • Knowledge of working relations and liaison with government (Liberia) ministries, agencies and departments.
  • Must have strong time management and organizational skills and must be resourceful in gathering and providing information

The position will be based in FHI 360’s EpiC office in Monrovia. Liberian nationals and candidates currently based in Liberia are encouraged to apply.
